The Client and What They Need
The client is a senior operations professional who wants a dependable right-hand VA to take ownership of recurring administrative work — freeing him up to focus on higher-value operational responsibilities rather than day-to-day admin. The engagement blends conventional executive assistant duties with a smaller slice of personal task coordination, which is a bit more varied than a typical pure-business VA role.
Scope of Work
Executive & administrative support:
- Managing and organizing professional email inboxes, including drafting routine responses for review
- Flagging urgent messages, outstanding actions, and items needing attention
- Maintaining professional and personal calendars
- Scheduling and coordinating meetings
- Tracking reminders, priorities, and follow-up items
- Supporting recurring reporting and presentation preparation
- General executive administration as needed
Personal assistance:
- Coordinating personal appointments and bookings
- Arranging transportation, cleaning, deliveries, and other day-to-day services
- Using client-approved apps such as Careem where access is granted
- Coordinating with personal suppliers or service providers
- Assisting with travel or lifestyle-related arrangements
Reporting and documents:
- Formatting recurring reports and presentations using existing templates and brand guidelines
- Using client-provided AI tools such as ChatGPT to support report preparation
- Keeping files and supporting information organized
What You'll Need
- Previous Executive Assistant, Personal Assistant, or senior administrative support experience
- Solid email and calendar management experience
- Microsoft Outlook/365 experience strongly preferred
- Strong written English
- Meeting scheduling and follow-up experience
- PowerPoint and Excel experience preferred
- Experience supporting a senior executive is a strong plus
- Comfort handling both professional and personal responsibilities
Software you should already be comfortable with: Microsoft Outlook, Microsoft 365, PowerPoint, Excel, WhatsApp, ChatGPT/AI productivity tools, and calendar/scheduling platforms.
Personal qualities the client is looking for: highly organized, proactive, comfortable working independently, discreet with confidential information, and able to prioritize across both business and personal tasks without dropping the ball on either.
Understanding the Contract Structure
This is worth spelling out clearly: 20four7VA states explicitly that this is not an offer of employment. You'd be engaged as an independent contractor under a Master Services Agreement and Statement of Work, with compensation processed through 20four7VA rather than the end client directly. That distinction matters for how you'd handle your own taxes, benefits, and business setup — it's a different arrangement from a standard remote job, even though the day-to-day work looks similar.
Schedule and Terms
- Contracted hours: 20 hours per week
- Working days: Monday to Friday (unless otherwise agreed in writing)
- Working time: Dubai/UAE time, to be determined, with the company making reasonable efforts to align with the client's preferred hours
- Region preference: Any
- Gender preference: None
- Language requirement: English, strong written and spoken ability (accent range A–C)
